Procedure for Storing Personal Information

Every new member and coach must complete a form recording their personal details. This is used to register the individual with British Gymnastics. After which it is kept, securely, for use in case of emergencies in a personal file at our main hall in Tumbles, Portobello. We are also registered with the Commissioner’s Office to store such information.

At the beginning of a training session, one of the coaches will ensure that the file containing these forms is accessible should they be needed. At the end of the night the forms are locked away again.

Rather then having to move these files back and forward between Tumbles, Meadowbank or having to be taken to competitions. Each coach will have a Gymnasts detail sheet, showing the relevant information, child’s name, contact numbers and medical information, so that wherever a coach is in charge of Gymnasts they will have all the information required.

Parents are advised to let one of the Coaches know when there is a change of address, telephone number, mobile number, doctor or a child is diagnosed with a medical condition, they will pass this to a member of the Board, so that we can ensure that the information is kept up to date.

Coaches should inform the Board direct if they have a change to any of their personal details.
